Hidden within the core G Suite tools—Gmail, Calendar, Docs, Slides, and Sheets—are tricks to improve your experience and streamline your work day. As we discussed in our first edition of 6 Little Known G Suite Features, Google is continuously evolving and it’s essential to stay up to date on G Suite features that you can integrate within your daily routine to make your work day a bit easier (and more fun)!

1. Collaborate On A Virtual Board

No whiteboard? No problem. Google Apps recently released Google Drawings — this app allows users to design diagrams, paint images, or create flow charts. This is a great tool for group collaboration on projects.

Step 1: To access Google Drawings, click on the “New” button, and select the “More” option.

Step 2: Next, click on “Google Drawings” to begin!

2. Automate Actions to Make Your Life Easier

Screen Shot 2016-08-15 at 10.01.49 AMYou can automate actions within your Gmail with IFTTT (If This, Then That). IFTTT provides a list of suggested actions you can choose from, such as: 

  • Automatically adding invoices to a Sheet
  • Receiving an email when there’s bad weather near you
  • Having new phone contacts automatically sync into a Google Doc 
  • Record how many hours you have worked on a Google Doc by tracking your location

You also have the option to program your own actions. To use IFTTT, you will need to create an account on their website.

3. Find Royalty Free Images

Insert royalty free images into your Google Docs and Slides with a quick search in the Google images engine without having to worry about finding stock photos.

Step 1: Within your Google Doc or Google Slide, find the “Insert” option and click on “Image.”

Step 2: Click on the “Search” option, then click on “Stock images” and you are ready to find royalty free images to enhance your Doc or Slide!

4. Livestream on YouTube Live

Connect with your customers or clients with live streaming via YouTube Live. Host webinars, Q&A sessions, training, and more. You’ll have the option to broadcast your event publicly, privately, or listed with easy access for all users.

Step 1: Go to your YouTube channel and click on “Creator Studio.”

Step 2: On the Creator Studio Dashboard, click on “Live Streaming.” Next, select “Events.”

Step 3: Once you are in the “Creator Studio,” click on the “New Live Stream” option on the right side of your web page.

Step 4: Input all your event information and you will be ready to schedule your live stream event!

5. Create Team Calendars

Keep projects with your co-workers more organized by creating a team calendar. Utilizing a team calendar will allow for easier scheduling for tracking deadlines and meetings for a particular project.

Step 1: Go to your Calendar and click on the downward facing arrow on the left side and press “Create new calendar.”

Step 2: Fill out information pertaining to this calendar and provide access to all co-workers involved in the project –  you’re all set!

6. Stay On Task At Work

Stay Focused is a Chrome extension that helps you limit time spent on certain websites to increase your productivity. Stay Focused allows you to set a time restriction for certain web pages and once your time is up, you will no longer have access to the page.
